POSITION: RECEPTIONIST (2 POSITIONS)

About the Role
Malawi Catering Services Limited invites applications from suitably qualified individuals of Malawian origin to fill the position of Receptionist, based at its Mpale Cultural Village in Mangochi and Head Office at Kamuzu International Airport (KIA).
Job Purpose
The Receptionist serves as the first point of contact for guests and clients, managing front desk operations and supporting administrative tasks to ensure smooth and professional office operations.
Key Responsibilities
- Welcome guests and provide a professional first impression of Mpale Cultural Village.
- Maintain a clean and organized front desk area.
- Manage incoming calls and direct inquiries appropriately.
- Handle incoming/outgoing mail and manage office supplies.
- Provide information about services and direct guests to rooms or facilities.
- Manage bookings for rooms and conference halls.
- Respond to customer inquiries and complaints.
- Perform store functions: receiving, inspecting, verifying deliveries, and maintaining stock records.
- Issue and distribute materials to departments as per approved requests.
- Monitor inventory levels and initiate stock replenishment.
- Ensure compliance with stores procedures and maintain a secure stores environment.
- Conduct periodic stock reconciliations and report discrepancies.
- Any other duties as assigned.
Qualifications & Experience
- Diploma in Hotel and Tourism Management or equivalent.
- Certificate in Purchasing and Supply Chain Management is an added advantage.
- MSCE (Malawi School Certificate of Education).
- Minimum 2–3 years’ experience in a hotel setup or busy front office.
Knowledge, Skills, and Abilities
- Strong verbal and written communication skills.
- Excellent organizational and multitasking abilities.
- Familiarity with Hotel Master or ACCPAC systems.
- Strong attention to detail and analytical skills.
- Sales-oriented mindset (Rooms, Conference, Restaurant, Cultural Edutainment).
- Understanding of workflow, finance, supply chain, and staffing operations.
